Q: Is the facility handicap accessible?
A: Yes, everything is on one level from the parking lot, the sidewalk leading to the Gazebo, inside the Gazebo and the restrooms. There are no steps, ramps or curbs to negotiate.
 
Q: What is the room rental rate?
A: The room rental rate for a 4-hour event is $5.00 per person or $500 minimum. Longer time periods can be arranged for an additional fee.


Q: Is there a room rental deposit required?
A: Yes, there is a $500 down payment required when you reserve our facility.
 
Q: Is there a separate damage deposit?
A: No, we do not require a damage deposit. When you sign the contract you agree to pay for any and all damages incurred by you and your guests.
 
Q: When is final payment due?
A: The final payment is due the day of your event.


Q: Do you accept credit cards for payment?
A: Yes, we accept all major credit cards.


Q: What is your cancellation policy?
A: The down payment is non-refundable. If you must cancel and we are able to book a similar replacement event, a portion of your down payment may be refunded.


Q: How many hours do we get to use the facility?
A: Our fees are based on you using our facility for four hours but you are welcome to use the facility for a longer period for an additional fee.
 
Q: Is the price discounted for certain days of the week or times of the day?
A: No, we believe you will find our pricing to be very competitive.
 
Q: Can we hold the ceremony and the reception at Prestwick?
A: Yes, we have a very nice space available to accommodate an outdoor ceremony. If the weather does not cooperate, the ceremony can be held in the Gazebo, the same room as where your reception is being held.
 
Q: Is there a room available where the bride and groom can change clothes?
A: Yes, we have very nicely appointed ladies and men’s locker rooms complete with showers, seating, tables and other amenities. Several brides have turned the ladies locker room into a really fun gathering space for themselves and their attendants complete with champagne, hairdressers, makeup people, photographers, etc.
 
Q: When do you require a firm headcount?
A: We need your estimated headcount one week before your event and we will need your firm headcount four days before your event.
 
Q: Should I include photographers, videographers, wedding coordinator and similar other persons in the final headcount?
A: Only if these persons will be eating. It’s best to discuss this in advance with the photographers, coordinators, etc. you hire so that you, they and we all understand exactly what to expect.


Q: Can we arrange to play golf as part of our event?
A: We would be glad to arrange for you, members of your wedding party and invited guests to play Prestwick golf course on a day near your event. We’ve even had a few “golfing couples” that had a wedding party golf outing followed by their rehearsal dinner.
 
Q: What is the maximum number of guests the Gazebo will hold?
A: Depending on how you want the room setup the Gazebo will comfortably accommodate 160 to 200 persons. For example, a long head table takes more space than a round table, D.J.’s take up less space than a band, etc. There is also an adjoining room, with direct access to the dance floor and bar, that will comfortably accommodate an additional 40 people.


Q: Can you create a customized food menu for our event?
A: Yes, our staff will work with you to create just about any menu you want. Our most popular menu is a buffet that includes, a salad bar, one or two entrees, vegetable side, potato side, iced tea, lemonade, and coffee. Depending on the entrée choices, this menu typically runs about $16 to $25 per person.


Q: Are table linens, silverware, china, glassware, etc. included in the price?
A: Yes, the per person room rental fee includes these items.
 
Q: Is sales tax and gratuities included?
A: No, an 18% gratuity and 8% Indiana sales tax will be added to the total bill. Keep in mind that Prestwick Country Club is in Hendricks County and thus it is not subject to the additional 1% food and beverage tax collected by Marion County facilities.
 
Q: Can we provide our own table snacks (e.g., nuts, mints, chocolates, etc.)?
A: Absolutely, we encourage you to provide whatever you believe is appropriate for your guests to snack on during your event as long as those snacks are store bought and sealed.
 
Q: Is there a “post-party” cleanup charge?
A: No, our per person room rental and meal fees are all inclusive. We aren’t going to surprise you at the end.
 
Q: Can we use our own caterer or bring our own food?
A: You may bring a cake that is special to the occasion (e.g., wedding, birthday, retirement, etc.). All other food items will be selected, purchased and prepared by Prestwick’s experienced chef and kitchen staff in accordance with your food menu selection.


Q: Can we take home any leftover food or opened bottles of liquor, wine, etc.?
A: Sorry, even though you’ve paid for these items the Indiana State Board of Health does not permit any food or beverage items prepared for a banquet style event to leave the premises.
 
Q: Is there a cake service fee and if so, what does it include?
A: Yes, we charge a $1 per slice (based off the head count) cake service fee. This includes setting up your cake table, cutting the cake, serving the head table, and boxing what’s left for you to take home.
 
Q: Can we use our own decorations?
A: Yes, we provide white, ivory, or black tablecloths and we have several different colored napkins you may choose from. We also have a variety of centerpiece decorations available to rent for $3.00 per table. You may rent our decorations, you may supplement our decorations with your own, or you may bring in your own decorations. We will advise you how to attach decorations to the ceiling, walls, doors, etc. so that no damage is incurred to the facility. We request that you remove all your decorations immediately following your event. ABSOLUTELY NO confetti, glitter, or similar loose material may be used on any table or tossed about at any time.


Q: How large is the dance floor?
A: Our permanent wood parquet dance floor is approximately 12 ft. X 15 ft. 


Q: Can we provide our own soft drinks, alcohol, beer, keg, wine, champagne, etc.?
A: No, is the short answer but once people understand the legal liabilities associated with serving liquor, they become perfectly happy having someone else assume that responsibility. Prestwick maintains a valid Indiana State Liquor License, employs experienced, licensed bar tenders, and has the appropriate liability insurance to protect you and us.


Q: Is there a bartender fee?
A: Yes, our charge is a $100 bartender fee for a four-hour event.


Q: Can we have a “cash” bar?
A: Yes, you may have an all cash bar where your guests pay for all soda, beer, wine, and mixed drinks; a semi-open bar where you pay for the soda, beer, and wine and your guests pay for their mixed drinks; or you may have an open bar where you pay for everything.
 
Q: Do we pay for soft drinks, liquor, wine, etc. pre-ordered or just what is opened?
A: We charge only for what you and your guests drink.


Q: Is smoking permitted?
A: The Gazebo is a non-smoking facility. Smoking is permitted outside.
 
Q: Are there adequate restroom facilities for my guests?
A: Certainly. Our nicely appointed ladies and men’s locker rooms include guest restroom facilities.


Q: Will Prestwick’s event coordinator be present on the day of the event?
A: Absolutely, while this isn’t always the case at other venues, we can’t imagine not having the event coordinator onsite the day of your special event to ensure that everything goes exactly as you expected.


Q: Is there a coat check area?
A: The foyer area of the Gazebo has a large coat rack area where you guests may hang their coats.
